Our online booking system is provided through Dentally. Information provided when making an online appointment may be processed by Dentally on our behalf and will be used to manage your appointment and provide appropriate care.

Where appropriate, we may also send appointment confirmations and reminders by email or SMS.

We use third-party payment providers, including Stripe and Dojo, to process payments.

Payment information may be processed directly by these providers. We do not need to retain your full payment card details in our own systems where the payment provider processes the transaction on our behalf.

These providers process information in accordance with their own privacy policies and applicable data protection requirements.

 

7. Email and communications

We use Microsoft 365/Outlook for business email and communications.

We may use email to communicate with you about appointments, treatment, enquiries, administration and other matters relating to your care.

 

8. Marketing communications

If you choose to receive marketing communications from us, we may use your name and email address to send information about Mint Dental Hygiene Suite, our services, offers, news and relevant oral health information.

Our marketing emails are managed using MailerLite.

You can unsubscribe from marketing communications at any time by using the unsubscribe link included in our marketing emails or by contacting us directly.

Withdrawing marketing consent will not affect any processing necessary to provide your healthcare or maintain your clinical records.

 

9. Photography and video

We may take clinical photographs where these are necessary for your treatment, clinical records or monitoring your oral health.

We may also take photographs or video for educational, promotional or social media purposes. Where this identifies you, we will obtain the appropriate consent before using the material for these purposes.

You can withdraw consent for future promotional use at any time, although this will not affect material that has already been lawfully published or used before your withdrawal.

We do not sell your personal information.

We take our duty of confidentiality seriously.

Patient records are maintained securely using our dental practice management system. Access to information is restricted to those who need it for their role, and staff and clinicians are required to maintain confidentiality.

We also take appropriate measures to protect our practice premises, computers, systems and paper records.

However, no method of transmitting information over the internet can be guaranteed to be completely secure.

 

14. How long we keep your information

We keep personal information only for as long as necessary and in accordance with our legal, regulatory and professional obligations.

Clinical records are retained in accordance with our practice retention policy and applicable dental record-keeping requirements.

Our current policy is to retain clinical records for 11 years after the date of the last visit, or until the patient reaches the age of 25, whichever is longer.

Some non-clinical information may be deleted earlier where there is no longer a legitimate reason for retaining it.

Depending on the circumstances, you have rights under UK data protection law, including:

Our website uses essential cookies to allow the website to function correctly.

The website is provided by DotGo and currently uses essential session cookies called CFID and CFTOKEN. These cookies help maintain and secure your website session and do not collect or store information for analytics or advertising purposes.

We do not currently use Google Analytics, Meta Pixel or other non-essential tracking technologies on our website.

20. Social media

We maintain social media accounts, including Instagram and Facebook.

If you interact with us through social media, the relevant social media platform will process your personal information in accordance with its own privacy policy.

We may also publish photographs or videos from the practice where we have obtained the appropriate consent.

We do not currently make decisions about patients using solely automated processing or profiling that produce legal or similarly significant effects.
